Tools — Calendar, Notepad, Calculator, Files, Images

The Tools group on the dock gathers five windows that never write to the ledger but must stay within reach all day. They look like "small" tools; yet Calendar is one of the most data-hungry windows in the program. This page explains what each one does and — more importantly — what it does not touch.

Shows real money movements day by day. The one tool that is not just a tool: it reads data from the server.

1. Calendar — the day-by-day picture of your money

The Calendar is not an appointment book; it is a business calendar. Each day's cell shows the net of that day's money movements. It is fed from three sources:

💰 The "cash" figure under the cell

Under each day there is a second figure: the absolute cash + bank position at the end of that day. This differs from the day's net — the net says "what happened that day", the cash figure says "what was left in my hands at the end of it". On future days this figure is carried forward with expected due dates and prefixed with ~: it means approximately.

The Bottom Line card in the side panel

At the top of the side panel sits the Bottom Line card: today's account balances, cash and the grand total. Know one detail: foreign-currency accounts are not added into the TRY grand total, they are listed separately. This is deliberate — mixing exchange-rate swings into the TRY total would make the figure look more volatile than it really is.

Adding a reminder or a day plan

Right-click a day: "Add reminder" and "Add plan line" appear. These are stored on the server — so you see the same notes from your phone and from the office computer. You can edit and delete them from the side panel. These notes are not written to the ledger; they are the calendar's own book.

⚠ The calendar figure is a forecast, not a promise

The "~cash" figure on future days assumes every due date will be paid on time. In real life some slip. So when planning payments, aim a little below what the calendar shows; how much below can be measured with the delay ratio in the Cash Flow report.

2. Notepad — a scratch pad that calculates

At first glance the Notepad looks like an ordinary note pad, but it differs in one way: it shows each line's result on the right. Type 45*6 and 270 appears on the right. So while preparing a quote you never need paper for intermediate sums.

⚠ The Notepad lives only on this computer

Notepad pages are not written to the server; they live in your browser's own storage. This is for speed and privacy — but it has two consequences: (1) log in from another computer and your notepad is empty, (2) clear your browser data and the notes are gone. Do not leave anything that must last in the notepad; write it in the relevant card's Notes field.

3. Calculator

The Calculator is a separate window over the same engine that runs when you type into the command bar; the history is shared too. A calculation you did in the command bar shows up here as well. Pick up three habits:

4. Files — one visible working folder

Most file managers lose you in a maze of folders. This window deliberately does the opposite: you choose a base folder once, and the program always works inside it. The top of the screen always states which real folder you are in. Three fixed sections are created under the base:

💡 "Import (Preview)" does not copy

To open an external file you use the Import (Preview) button — but that file is never copied into the working folder, only displayed. The reason is simple: if it were copied, the same document would exist in two places in two versions and nobody would know which is right. If you want it to stay, put the file into the working folder yourself from Windows first.

Choosing the folder requires a permission in the browser, and that permission is remembered: you do not pick it again on every launch. Now and then the browser may ask you to renew the permission — this is normal, say "allow" and carry on.

5. Images

This window shows the images stored in the HNR database. Images are grouped by type; pick a type and a grid opens, click an image and it appears large in the right panel. The window is read-only: you cannot upload or delete from here — its purpose is viewing.

🖼 If some tiles look empty

Not every file in the database is an image: PDFs, text files and the like sit in the same pool. For these the window does not even try to download a picture and shows a placeholder straight away. And in a company where the file database was never installed, the window shows a clean explanation instead of an error.

7. Frequently asked

The figure in the calendar does not match my bank statement

There can be two reasons: (1) the calendar also counts cheques and notes falling due; the bank does not see them yet. (2) Transfers are not counted in the net but do appear as lines on the statement. For a real comparison use the Reconciliation screen — that is exactly what it is for.

My notepad notes are gone

Most likely you logged in from a different computer or a different browser; the notepad is separate in each browser. If browser data was cleared, the notes are not recoverable. Keep anything that must last not in the Notepad but in the relevant record's Notes field.

The Files window asks for a folder — which one should I pick?

Choose a folder on the company's shared server (a network drive, for example) — that way everyone sees the same documents. Choose your desktop and only you will see your quote printouts. Pick correctly once; changing it later creates confusion.
