HNR Agent — Your Accounting Assistant

The Agent is an assistant that looks at your data and answers your questions in plain sentences. Ask "who did I sell the most to this month?" and it looks it up without opening a report and tells you. The most important thing to know is this: this version is read-only — the agent cannot change, delete or create any record.

🛡 What does read-only mean?

The agent cannot issue an invoice, create an account, deduct stock or delete a record. It only looks and tells. That means you can ask as many questions as you like without worrying "might it break something". If you get a wrong answer, the only loss is time; nothing happens to your data.

2. Chat — asking the right question

The chat screen has a session list on the left, the message stream in the middle and the input box at the bottom. Enter sends, Shift+Enter starts a new line. While the answer is being written a Stop button appears — you can cut a long answer short.

A good question, a bad question

Bad question Good question Why
"How are sales?" "Who are my top 5 customers by revenue in July?" With a period and a measure, the answer becomes exact

💡 Read the chips: the agent shows its work

While the agent answers, small chips appear: they name the data being consulted, spin while it works and leave a short summary when done. These chips are how you audit the answer. If a chip says "sales invoices of the last 30 days" but you asked about the whole year, you need to sharpen your question.

The cost line at the bottom

Under every answer there is a usage line, and at the very bottom of the session the total cost. Because the agent uses an external AI service, each question costs the company a small amount. The figure is not alarming, but showing it is deliberate: you know what costs what.

3. Routines — an eye that checks regularly for you

A routine is a task the agent runs at set intervals without you asking. Examples:

You can add and edit routines, deactivate them temporarily, and try one immediately with Run now. At the bottom of the page there is a list of recent runs: which routine ran when, and what it found. It is a good habit to run a routine manually once and look at the result before scheduling it.

When you add, delete or toggle a routine, the whole list is sent to the server and the scheduler is rebuilt. So two people editing routines at the same time can wipe each other's change. Let one person own the routines.

4. The Settings tab (for the administrator)

An ordinary user has no need to enter this tab. It contains six sections:

🔑 The API key appears masked on screen

Secret fields arrive from the server masked (like sk-ant-***). If you save without touching the field, the mask goes back unchanged and the real value on the server is preserved — so pressing "save" does not break the key. To genuinely change the key you must clear the field and type the new one. Never share this key with anyone, not even in a screenshot.

5. How far should you trust the agent?

The agent is fast but fallible. The right attitude is: use it as a signpost, not as evidence. The distinction below will serve you well:

"Roughly how much profit did I make last month?" The Earnings Report for filings and decisions

6. Frequently asked

Does the agent send my data outside?

To answer your question it passes the relevant part of the data it consults to the AI service — this is true of every cloud-based assistant. So do not type genuinely sensitive information (passwords, personal identity data) to the agent. Which service it connects to is visible in Settings › Connections; if you have a corporate policy, consult your administrator.

The answer was wrong — what should I do?

First look at the chips: did the agent consult the right data? Most wrong answers are correct answers to the wrong question. Narrow the question by adding a date range, a warehouse or a document type and ask again. If it is still wrong, verify in the relevant window and report it to your system administrator.

Are my old chats kept?

Yes — they stay in the session list on the left and come from the server, so you see them from another computer too. The list does not refresh by itself; use F5 or the window's refresh button.
