The Profit Panel — "How Much Did We Really Earn?"
Revenue is easy: you add up the invoices. Profit is hard, because first you must subtract cost, expenses and the part of the tax that was never yours. This panel does that subtraction. The guide's aim is not to teach you finance but to show which question each figure answers. A correct number read against the wrong question is the most expensive kind of mistake.
1. First, that switch: VAT included or excluded?
At the top of the panel there are two buttons: Excluded (tax base) and Included (gross). This is the panel's most misunderstood setting, and it changes every figure at once. The default is excluded, and that is usually the right one.
🗺 What each field does Figure 1 — Both figures are correct; what is wrong is using one in place of the other.
If you take one report in "excluded" mode and another in "included" mode, the 20% gap will have you hunting for hours — there is no error; you are looking at two different questions. When you take a screenshot, record which mode you were in.
2. Tabs: where each question is answered
| Tab | The question it answers |
|---|---|
| Home | The period at a glance — revenue, expenses, profit. |
| Real profit | "What is actually left?" After expenses and tax effects. The number an owner really looks at. |
| Overview | Month-by-month trend — are we growing or shrinking? Read the trend, not a single month. |
| Margin by product | Which product makes money? The best seller and the best earner are often not the same product. |
| Withholding | The share of VAT paid by the buyer. Consulted at declaration time. |
| Accounts | Which customer is actually profitable? A big buyer on deep discounts can be unprofitable. |
| Expenses | Where is the money going? When profit is thin, the answer usually hides here. |
| AI analysis | An interpretation of the figures. It is commentary, not evidence — verify on the relevant tab before deciding. |
3. Margin: best seller ≠ best earner
This is the panel's most valuable output. An example:
| Product | Revenue | Cost | Profit | Margin |
|---|---|---|---|---|
| A | 500.000 | 465.000 | 35.000 | %7 |
| B | 120.000 | 72.000 | 48.000 | %40 |
Product A brings in four times the revenue, yet product B earns more money. A manager who looks at revenue invests in A; a manager who looks at margin grows B. This distinction is precisely why the panel exists.
A product with no recorded cost looks 100% profitable. The panel calculates with the data it has; if the purchase invoice was never entered, the cost is zero and that product jumps to the top of the list. The rule of suspicion is simple: when you see an unusually high margin, check its cost first — before celebrating.
4. What does the "recalculate" button do?
To open fast, the panel caches its calculations. So when you fix a very old invoice, the panel may keep showing the old figure. The [Recalculate the whole system from scratch] button clears the cache and rebuilds everything from the fresh database: invoices, expenses, withholding, margin.
Yes — it changes no records, it only re-reads them. The only cost is time: with a lot of data the calculation takes a while. When a figure looks suspicious, press this first; some "problems" are not errors at all but a stale cache.
5. Profit Panel versus the Cockpit
| Cockpit | Profit Panel | |
|---|---|---|
| Time frame | Today — live, fresh on every open | Periods — months, last 12 months |
| Question | "How are things going today?" | "Are we making money on this?" |
| Cadence | Three minutes every morning | Half an hour, once a month |
They do not replace each other. The cockpit says is there a problem today; the profit panel answers are we doing the right business at all. Use both — but at different rhythms.
6. Frequently asked questions
The profit figure does not match what my accountant says.
Most likely you are measuring different things. This panel shows operating profit (sales − cost − expenses). Your accountant's taxable profit also includes depreciation, disallowed expenses, provisions and so on. Both are correct and they never match exactly. The panel is for management decisions, not for tax returns.
A customer is a top buyer but shows no profit.
This is exactly what the panel is meant to find. Causes: deep discounts, always buying the low-margin items, or you paying the freight. Look at that customer's margin on the Accounts tab, then read their statement on the account card. It is the best way to prepare for a price conversation.
Can I trust the commentary on the AI analysis tab?
Use the commentary as a starting point, not as the reason for a decision. If it says "margin fell on this product", verify it on the relevant tab; never report a number you have not seen with your own eyes. The other tabs show data, this one interprets it — two different levels of confidence.
